Set Up WebEx Integration

You will need to have an account with WebEx before beginning these steps. Be sure to have the Event Center (not Meeting Center) version.

Step 1: Navigate to ClickDimensions Settings and open Connectors

To get started, you’ll need to click on the arrow by Microsoft Dynamics CRM and choose Settings > ClickDimensions Settings.

Within the settings, click Connectors on the bottom right.

Step 2: Add the Connector

A new screen will pop up. Click Add here.

CDSettingsAddConnector2013

Then click WebEx.

Now fill in the information to allow your WebEx and CRM to connect.

Note: You must provide the administrator credentials for your WebEx account (a “full site administrator”). If you provide the credentials for a non-administrative user of the account, WebEx and CRM will not be able to properly connect.

Create Lead or Contact for unknown registrants: If the email address the registrant enters matches an existing Lead or Contact’s email address we will associate the Event Participation record to that existing person. If not, this field will determine whether a new Lead or a new Contact is created.

Send reminder email to this address, when WebEx authorization expires:  The authorization will expire every 6 months and an email will be sent to this address. You’ll just need to re-authenticate it.

WebExID: This is the username you log into your WebEx account with.

PartnerID: This is something you’ll need to ask your WebEx distributor for.

SiteID: This is also something you’ll need to ask your WebEx distributor for.

SiteName: When you type in the  URL to get to your WebEx account this would be the first part of that. For example ours is https://clickdimensions.webex.com. So our SiteName is clickdimensions.

Password: This is the password you use to log into WebEx with.

Email: The email address you have setup for your WebEx account. When you’re logged in, you can go to My WebEx and then My Profile to see this.

Press Connect and the events will start coming in as Event Records and your registrants will come in as Event Participations. It will pull in events from the past 3 months and will check for new information about every 60 minutes. Please note that when you first set up the connection it could take several hours for all of the current information to come into your CRM, and WebEx may take up to 48 hours to update some data on their end, like the change of an event’s status from active to past, which may delay the syncing of that data into CRM.
